Job Title: Academic Coordinator Job Summary We are seeking a motivated, professional and experienced individual to join our team as an Academic Coordinator. The individual will play a pivotal role in ensuring the smooth running of academic administration and supporting student success. The Academic Coordinator will report directly to the Academic Registrar and work closely with academic staff and students to coordinate academic processes and ensure regulatory compliance, quality management, and the delivery of academic support.
Required Qualifications & Experience Essential:
A Bachelor's Degree (NQF7) in a relevant field (e.g. teaching, academics, sound engineering, music etc.). At least 3 years of experience in academic administration and/or student support, ideally in private higher education. Experience managing and coordinating academic processes and systems. Strong administrative skills and problem-solving skills, with attention to detail and organisational capability. Significant experience with using, creating and maintaining spreadsheets. Experience with using databases and academic information systems. Strong written and verbal communication skills are essential, as clear communication with students, faculty, and regulatory bodies is key to the role. Desirable:
Post Graduate Diploma or Honours qualification (NQF8) or Masters qualification (NQF9) in a relevant field. Experience with Learning Management Systems, ideally Moodle. Experience with South African education regulatory bodies, including SAQA, CHE, and DHET, and familiarity with compliance and accreditation processes. Previous lecturing or teaching experience. Experience with Google apps and Google Workspace. Experience with Filemaker databases. Key Responsibilities Academic Administration:
Ensure the institution enrolls an adequate number of qualified students in line with academic admission criteria, including Recognition of Prior Learning (RPL) processes. Where necessary hold consultations with students and their account payers to ensure efficient enrolment and appropriate academic progress. Coordinate academic processes, including enrolments, progressions, rewrites, and academic consultations, and handle academic queries and requests. Manage academic records and student information, and ensure data accuracy and integrity. Generation and issuing of academic reports, graduation transcripts and certificates. Ensure that assessments are well-planned and scheduled. Help organise and support academic board meetings. Help organise and support graduation ceremonies. Assist with the DHET annual report and NLRD submissions. Ensure adherence to regulatory compliance and quality management systems under the guidance of the Registrar. Handle academic disciplinary issues. Collaborate on projects related to the company's infrastructure, systems, and academic expansion. Proactively identify opportunities for process improvement and work with teams to implement solutions that enhance efficiency and student experience. Assessment invigilation. Student Support:
Provide ongoing support to students, including academic advising and liaising with relevant departments to address student needs. Develop and implement strategies for providing student support and maximising student success. Ensure timely identification of at-risk students and support intervention strategies. Lecturing and Learning Support:
Engage in the development and implementation of learning strategies to enhance student outcomes. Lecture Academic Skills courses and/or other areas as required. Contribute to curriculum development and the creation of new course material. Ethos:

Assist the Facilities Supervisor in managing facilities, resources and equipment, and by keeping the workspace tidy. Work Ethic:
Attend all relevant staff meetings. Arrive at work on time/punctually. Fill work hours with useful and productive tasks, and take proactive initiatives to improve Academy of Sound Engineering efficiencies. Fill in accurate records of time expenditure on calendars. Contribute to the maintenance and integrity of the Academy of Sound Engineering systems (for example, LMS, DigiCampus results and attendance, calendars, and reports). Engage in these systems. Furnish management with accurate reports and deliver work on time. Job Type: Full-time
