The Department of Medicine is one of the largest in North America, with 830 full-time faculty members, 1,000 postgraduate trainees, and 20 specialty divisions. We are a powerhouse of medical research, generating new knowledge to impact internal medicine training and patient care.
As Academic Appointments & HRIS Assistant, you will work collaboratively within a team of administrators to coordinate the clinical faculty appointments processes and academic life cycle. You will be entrusted with key administrative tasks requiring attention to detail in a high-volume environment.
Your responsibilities will include: Tracking applicant files and verifying the accuracy and completeness of documentsInterpreting and applying rules and policies, and providing detailed explanations to stakeholdersSupporting senior level committees, including agendas, minute taking and coordinating logisticsCoordinating and tracking endowed chair appointmentsProofing and posting advertisements for faculty positionsProcessing payroll transactions and generating reportsEssential Qualifications: Advanced College Diploma (3 years) or acceptable combination of equivalent experienceMinimum three (3) years relevant experience, preferably in a University or teaching hospital environmentFamiliarity with the University of Toronto's and Faculty of Medicine's policiesDemonstrated experience interpreting and processing academic appointments and promotions policiesExperience managing databases and generating reportsExperience drafting correspondence and supporting committeesExperience processing payroll transactionsExperience with document management softwareExperience with HRIS, Taleo, Laserfiche and FOCUSExceptional communication and interpersonal skillsStrong organizational skills with a demonstrated ability to set prioritiesAbility to multi-task and adapt in varied dutiesRelentless attention to detail and accuracyStrong customer service orientationAssets (Nonessential): Knowledge of clinical faculty appointments policiesTo be successful in this role you will be: MeticulousOrganizedTactfulTeam playerClosing Date: 09/27/2024, 11:59PM ET
