Bid CoordinatorSalary: R25 000 to R28 000 Per Month (Depending on qualification and years of relevant experience)Opportunity: Excellent opportunity exists within this global consulting firm to join their dynamic team.The Bid Coordinator takes responsibility for the compilation and submission of bids (tenders), ensuring high quality, compliant, and compelling submissions. The role includes liaising with technical personnel in bid formulation in alignment with business development priorities. This role reports to the Bid Manager.One would describe you as a highly organized, efficient, and confident individual who possesses high attention to detail and accuracy with demonstrable high standards of achievement and the ability to work efficiently in teams and across different offices. You are confident, assertive, and have the capacity to cope with multiple tasks and deadlines.QUALIFICATIONS AND EXPERIENCERequired:Bachelor's degree/diploma in Business Administration, Project Management, Supply Chain Management or relevant fieldAt least 5 years of bid coordination, grant submission or tendering experience, managing end to end bid | tender processesDemonstrable knowledge and experience of government tendering processes and (PFMA/PPPFA) regulations and the structuring of proposals for evaluationDemonstrable knowledge and experience international tendering processes and requirementsKnowledge of local and international bid submissions with development partners such as GIZ, DFID, USAID, World Bank, EU, etc.A proven track record of successfully planning and driving tender processes and submissions as well as operational excellenceHigh proficiency with MS Office Excel and WordAdvantageous:Exposure to SharePoint.Exposure to technical fields.Previous copy-writing experience.DUTIES AND RESPONSIBILITIESBid Development:Analyze RFQs, RFPs and RFIs to create proposal outlines and development plansCoordinating and directing proposal kickoff and debrief meetings, as well as prepare detailed proposal plans, schedules, templates, and compliance matrices for all phases of proposal development, flagging any potential risks or compliance issuesFacilitating multi-disciplined groups in brainstorming and developing solutions to key aspects of the proposal providing tactical advice and guidance with the ability to drive strategy and solutions that result in winning submissionsSoliciting management reviews and approvals during proposal developmentMonitoring proposal content to ensure compliance to RFP requirements, evaluation criteria, and technical requirementsLeading and/or supporting the development and submission of winning bid responses by working with the bid team, internal experts and contractors, as requiredEngaging with various external stakeholders, other departments and levels of managementMaintaining, augmenting and improving library of reusable components, templates, and processes to reduce response time and improve quality on future bidsInforming strategy research performed by the Bid Manager and Business Development ManagerEnsuring that bid documents are completed within the stipulated timeframes and deadlinesBid Administration:Maintaining bid database and bid information for easy use by internal staff.Maintain, augment and improve library of reusable components, templates, and processes to reduce response time and improve quality on future bidsTracking consistently bids and proposals on the company bid tracking database.Co-ordinating the application process for registration with clients / vendor and database registrations.Following-up consistently with clients on bid evaluation outcomes and bid de-briefings.Providing weekly/monthly reports on bids, as required.Staying up-to-date with relevant bid and supply chain processes.
